This is a fantastic Financial Services job for an employed IFA Administrator to work with great IFAs in one of the UK’s leading Independent Advice firms. With over 30 years of experience, this client is committed to providing the very best possible service to their clients and Independent Financial Planners. As an IFA Administrator you’ll be providing exceptional support, both administrative and technical, to Financial Advisers and clients, ensuring clients’ needs are foremost in everything you do.

You have the option of hybrid working: You will be working 3 days in the office, 2 days from home. You’ll be in on the Thursday, because everybody’s in on a Thursday, so that you can all get together, bond, have a bit of fun, do any team stuff that they need to do and possibly go out to the pub for lunch, so it’s quite a nice experience.

When not working from home, this position will primarily be desk-based, working in a bright, modern office. You’ll leverage video conferencing tools such as Microsoft Teams as your preferred method of communication, supported by email and phone when necessary.  

Key Responsibilities

  • To provide quality administrative and technical support to specific Financial Advisers.  This includes dealing with incoming post, paperwork, fact finds, research and preparation of client review or new business packs and the management of payment requests
  • Acting as the first point of contact for any client queries and maintaining and nurturing strong professional relationships with advisers, clients and other colleagues across all areas of the business
  • Liaising with paraplanners and advisers, ensuring all clients requests are dealt with in a timely manner, whilst managing client expectations, with clear and concise communication from start to finish
  • To manage your own workflow, and the diary management system, holding regular 1:1 meeting with IFAs to set priorities
  • Maintaining client records, ensuring all data is accurate and up to date, and that all written and verbal communication is produced with the client’s needs at the forefront
  • Liaising with providers and investment platforms, ensuring client requests are actioned promptly, followed up and then escalated when necessary
  • Guaranteeing all tasks are completed promptly and in a compliant manner

What We’re Looking For

  • GCSE level A-C/5-9 in English and Maths as a minimum, with relevant financial qualifications desirable
  • Experience within a Financial Services IFA support role, with proven knowledge of financial products including investments, protection and pensions
  • Proficient IT skills, with a good knowledge and experience of Microsoft applications and other modern platforms and a willingness to embrace virtual/digital communication methods
  • A client-focused positive mindset with exceptional interpersonal skills, approachability, and professionalism – someone who thrives in a fast-paced environment
  • Articulate, well-presented, with an ability to use your own initiative, taking ownerships of tasks through to a quality completion
